Data Retention and Cold Storage Policy
Effective
War Guardian provides community access to kill feed records for 180 days, then anonymizes them for lifetime cold storage, with no fixed expiry or AI training. Ban records and their associated evidence are retained for 180 days, then deleted without anonymization. Steam profile information is obtained separately under applicable Steam policies and is excluded from the anonymous archive. This schedule also covers other identifiable service information.
Identifiable data schedule
Identifiable kill feed records: community access lasts 180 days from each event, subject to subscription and authorization, then the records are anonymized for lifetime cold storage. Earlier valid deletion requests and DPA end-of-service requirements take priority. A specific documented legal hold covers only the relevant records.
Steam profile information: obtain through Steam under the applicable Steam terms, with cached information retained only while needed to provide the profile features, subject to applicable deletion requests and end-of-service requirements. Steam profile information is excluded from the anonymized kill feed archive.
Ban records, reasons, notes, review decisions, evidence and attachments: retain for 180 days from ban record creation, then delete without anonymization or lifetime storage. Adding evidence does not restart the period. Other moderation records are kept only while necessary for their stated purpose, subject to documented legal holds. Unfinished evidence uploads are deleted after one day.
Staff account, role and access records: during authorized access, then delete unnecessary personal details within 90 days. Authentication cookies follow the Cookie and Browser Storage Statement; delete expired server-side sessions. Security and routine request logs: 30 days unless a specific incident requires a documented hold.
Support correspondence: up to 24 months after closure where needed, then delete. Rights-request records: keep the minimum needed to handle the request and demonstrate compliance until applicable legal and dispute periods expire. Billing and tax records: keep for the legally required period, with access limited to that purpose. Ordinary recovery copies: retain only the minimum copies needed for recovery, replace them through the applicable rotation schedule and remove them when no longer needed. Restrict copies awaiting removal from ordinary use. The maximum period applicable to Customer processor data is provided before that processing is authorized; contact [email protected] for the schedule applicable to your information.
Holds and cancellation
Document each legal hold's data, legal reason, responsible person and review date; restrict unrelated uses and lift it when the need ends. Routine community use does not extend the 180-day ban and evidence schedule. Cancellation triggers the DPA return or deletion process. Isolate backups awaiting expiry from ordinary access and reapply earlier deletions and anonymization after restoration.
Anonymous cold storage
Lifetime cold storage contains only anonymized kill feed data and derived statistics, with no fixed expiry. It excludes player identifiers, identifying content, Steam profile information, ban records and evidence. It preserves no means to reconnect events to player accounts and cannot reasonably identify an individual. Its historical and statistical use is reviewed periodically.
We do not use anonymous archives to train, fine-tune or fit any models. Any information that remains identifiable is treated as personal data under the Privacy Policy and the applicable retention schedule.
